On the night: checking people in

Every ticket has its own QR code. Scan it at the door with any phone and you'll know straight away whether to wave them in. There's nothing to install and no list to tick off by hand.

Who can check people in

Your committee and the event's admins. If someone else is on the door, make them an admin of the event beforehand: open its Team tab and choose Promote to admin next to their name. They'll need to be signed in to Upfayre on their phone.

Open the event and click Door scanner in the panel above its tabs. Allow the camera when your phone asks.

Point the camera at a ticket's QR code, on the buyer's phone or on the printed PDF. Each scan shows one of these:

  • ✓ Welcome in: a valid ticket, with the names on it and how many people it admits.
  • ↻ Already in: this ticket has already been scanned, and it says what time. Each ticket gets in once.
  • ✕ Refused: the ticket was refunded, or it isn't one of yours.

If the camera won't start, check your phone's settings allow Upfayre (or your browser) to use it, then reload the page.

Finding someone by name

Left their tickets at home? On the scanner, tap View full list → below the recent scans. Search for their name and tap Mark as scanned next to each of their tickets.

The check-in desk (laptops and tablets)

For a busier door, open Check-in desk on a laptop or tablet. It shows every order and ticket, with a search box and running counts of who's in and who's still to come. Click Check in for one ticket, or Check in all for a whole family. Undo puts a ticket back if you tapped the wrong one.

You can open the desk before the day to look around, but you can only check people in on the day of the event.

More than one door

Run as many phones and laptops as you like. A ticket can only be checked in once, whichever device gets there first. The check-in desk updates by itself as people arrive through any door. The phone scanner's own count shows the scans made on that phone.

If the Wi-Fi goes

Scanning needs a connection. Before the event, click Print sheet on the check-in desk for a printed list of every ticket to tick off by hand. The desk also shows Offline when it loses the connection, so you'll know.
